Time blocking and digital planning on a computer

In a busy world, our days are filled with interruptions. Focus and productivity can often feel like goals only some gurus can achieve, not you. You might already be familiar with time blocking, a method where specific hours are allocated for specific tasks, visualized as colorful rectangles filling our daily schedules.

While aesthetically pleasing, these blocks often get shuffled. The boss is calling, you have to tackle an “emergency”… disruptions occur.. and we try and squeeze new stuff in. This is so simple with most of the calendar apps available, right? What seems to be an advantage (automation, ease of use) is a problem instead.

It’s not only the constant cycle of rescheduling that is frustrating. It’s also so easy to shift our focus from what’s important to what’s urgent.

The Problem with Traditional Time Blocking

Traditional time blocking mimics a dynamic to-do list and offers a structured visual layout of our day. Yet, the ease with which we can drag and resize these blocks within our favorite calendar apps is also its downfall. This flexibility seems to be beneficial. But in reality, it often leads to a mindset where time blocks are merely suggestions rather than commitments. Thus, under pressure, our plans crumble and morph into something that we never wanted.

While I still firmly believe that time blocking is an extremely useful method, I’ve learned by now that life always kicks in. Unforeseen situations will blow up your plans – so you have to be prepared to be flexible. I’m a mom of twins with a full-time job and a side hustle. I’ve been there countless times. But I’ve decided that certain types of blocks are simply non-negotiable. These are the ones that are crucial to achieve my goals.

Introducing Commitment Blocks

Commitment Blocks are not just scheduled entries. They are a sacred commitment to oneself. These blocks, when they land in your calendar, will remind you what you are working towards. They are not just booked in your calendar. They are carved into it. This mindset shift is crucial for defending your time against the chaos of daily demands.

For example, 1 have 2 commitment blocks at the moment that I don’t sacrifice for anything. Those are the time for my passion project, The Planner Portfolio, and family time. Even if everything else shifts, these have to stay where they are.

How to implement Commitment Blocks

1. Define What’s Truly Important

Before you can block out time, you must identify the tasks that are critical to your success. What are your main goals in life? In your career? In relationships? You have to be aware of those. Because your blocks aren’t just any tasks; they are the commitments to your goals, that deserve prime real estate in your calendar. Clarity in your priorities is essential; without it, everything else is more challenging.

2. Schedule and Honor Your Time Blocks

Approach scheduling as if you are making a promise to the most important person in your life—because you are. That person is you. When you add an item to your calendar, it’s not merely planning; it’s a pledge to honor that commitment without fail.

3. Defend Your Time Vigilantly

Visualize each time block as a shield, guarding you against distractions and interruptions. If something attempts to encroach upon this sacred time, your default response should be “not now.” This block is reserved for something significant and deserves your utmost protection and focus.

Just think about it. You are where you are now because of what you did (or didn’t do) in the past. Your future self will thank you for constantly working towards your most important goals.

4. The Power of Saying “No”

Learning to say “no” is integral to Commitment Blocking. By guarding your scheduled blocks, you not only enhance your discipline and focus but also demonstrate self-respect for your time. Allowing interruptions not only diminishes your productivity but also betrays the commitments you’ve made to yourself. Treating your time with the reverence it deserves establishes a standard for what you allow to command your attention.

5. Embracing the Transformation

Adding Commitment Blocks to your weekly plan doesn’t just help you get more done; it profoundly respects and values your time.

I encourage you to embrace this method for at least a week. Check the differences in your productivity, focus, and satisfaction. You’re likely to find a significant positive change in how much you accomplish and how you feel about your day.

6. Integration with Digital Tools and Resources

To support your journey in Commitment Blocking, consider utilizing digital tools that enhance your scheduling effectiveness.

For example, integrating your digital calendar with task management apps can streamline the process.

Embrace this method and watch as your productivity—and your respect for your own time—soars to new heights.
